FLEX STAY TERMS & CONDITIONS

This Sovereign Agreement governs the professional relationship between Flex Stay Executive Mobility and the Client. By securing a reservation, the Client acknowledges and agrees to these standardized terms, which are designed to ensure 100% regulatory compliance, audit-readiness, and a high-performance living environment across our Vancouver and Calgary portfolio.

1. Reservation & Payment (The 50/50 Rule):To secure a Sovereign Suite, a 50% deposit is required at the time of booking. The remaining 50% balance is automatically processed 60 days prior to check-in. All transactions are processed in CAD via our secure enterprise partner.

2. Compliance & Regulatory Guarantee (The 90/180 Standard): Flex Stay Executive Mobility warrants that all residences within our portfolio are managed in strict accordance with 2026 municipal and provincial housing legislations. To ensure 100% regulatory adherence, we specialize in mid-term and long-term residential stays with a minimum threshold of 90 nights in Vancouver and 180 nights in Calgary. These stays are classified as residential tenancies, exempting our corporate partners from provincial short-term registration requirements. For any permitted stays below these thresholds in principal residences, Flex Stay maintains all required City Business Licences and Provincial STR Registrations to protect the 'Duty of Care' standards of our clients.

3. Cancellation & Refund Policy: 30+ Days Notice: Cancellations made more than 30 days before check-in are eligible for a refund (minus a $250 administrative audit fee).Under 30 Days: If cancelled less than 30 days before check-in, the full reservation amount (100%) becomes non-refundable. Note: We strongly recommend all guests carry comprehensive travel insurance

4. Chargebacks & Disputes: Any guest-initiated chargebacks will immediately pause our internal refund process and move the file to a formal dispute resolution (90+ days). We encourage direct communication with the Director to resolve issues without financial friction.

5. Fulfillment of Service: Our service is legally considered "fulfilled" once the check-in time (4:00 PM) has passed and digital property access has been granted, regardless of physical occupancy.

6. Property Conduct & Damages: Sovereign Workspace: Guests are responsible for any damage to the LG monitors, VariDesks, or technical hardware.Quiet Hours: 9:00 PM to 10:00 AM. Failure to adhere to local community standards may result in immediate eviction without refund.

7. Legal Jurisdiction: These terms are governed by the laws of the Province of Alberta and British Columbia, as applicable by the specific property location.
